2. Enquiries and free photo reviews

We process the name and email address entered in the form, together with any optional company name, telephone number, photo or listing link, and message, to answer the enquiry, review the material, and prepare an offer. The system also transmits the source page, referrer, and available UTM campaign parameters.

For an individual, the legal basis is taking steps at the data subject’s request before entering into a contract under Article 6(1)(b) GDPR. For a business contact, it is the controller’s legitimate interest in handling business enquiries. If no contract is formed, the data is retained for 12 months after the last substantive communication.

3. Contract and service delivery

Where an order is placed, we process contact details, the offer, order and approvals, project correspondence, billing information, and supplied materials to perform and document the contract and to establish, exercise, or defend legal claims.

Contract and project correspondence is generally retained for five years after completion. Accounting documents and the mandatory data supporting them are retained for eight years.

4. Supplied photos, videos, and property materials

Photos, videos, logos, and property details supplied by the customer are used to produce, check, revise, and, where needed, re-export the video. They are retained for no longer than three years after project completion, unless earlier deletion is requested and no contractual or legal reason requires further retention.

Reference or marketing use takes place only under separate documented permission or a licence defining the channels and duration. The customer is responsible for being entitled to authorize use of the supplied materials and for properly addressing the rights of any individuals appearing in them.

5. Billing and payment

We process the name or company name, address, tax number, billing email, service details, and payment information required for invoicing to comply with legal obligations. Electronic invoices are issued through Billingo. Accounting data and documents are retained for eight years.

6. Professional tips and offers

Marketing messages are sent only after prior consent through the separate optional checkbox. Consent is not required to request a review or purchase a service and may be withdrawn at any time, free of charge, through the unsubscribe option in a message or by emailing the controller.

The name, email address, consent statement, and evidence needed to demonstrate consent may be processed until withdrawal. Sending stops after withdrawal; minimal evidence of the former consent may be retained for as long as necessary to defend legal claims. Newsletters will begin only after a suitable consent-recording and unsubscribe system is implemented.

7. Analytics, local storage, and spam protection

Google Analytics activates only after analytics cookies are accepted. It may process online identifiers, device and browser information, approximate location, page views, and interactions to measure use of the website. Consent can be changed at any time through the cookie settings button in the bottom-left corner. GA4 user- and event-level retention must be configured to 14 months; some Google cookies may remain for up to two years.

The choice is stored in the browser’s local storage until the visitor changes it or clears browser data. The form is protected by strictly necessary Cloudflare Turnstile, which may process IP address, user-agent, TLS characteristics, and security signals solely to detect abuse and automated submissions.

8. Processors and international transfers

Some providers may process data outside the European Economic Area. Where applicable, transfers rely on appropriate safeguards such as an adequacy decision, the EU–US Data Privacy Framework, or the European Commission’s Standard Contractual Clauses, in accordance with the relevant provider terms.

9. Data security

We apply reasonable technical and organizational measures, including encrypted HTTPS connections, restricted access, protection of service accounts, and deletion of data that is no longer needed. The website does not store form submissions in a separate customer database; they are delivered to the controller by email.

10. Your rights and remedies

By emailing info@propertymotionstudio.com, a data subject may request access, rectification, erasure, restriction, or portability, object to processing based on legitimate interests, or withdraw consent. Erasure does not override mandatory legal retention or processing required to defend legal claims.
